Cyclame IT is happy about your interest in our products and services (products and services). This document provides a detailed overview about what personal data we use and how it is protected with respect to the GDPR. "We", "us", "our" refers to Cyclame IT e.U., "user", "you", "your" refers to you the user of our customer area, "web pages" to all web pages hosted in the customer area, "customer" refers to a customer of Cyclame IT, "commercial customer" refers to a customer of Cyclame IT who is a commercial entity, "project" refers to a project specified in an usage contract, "project manager" refers to a person holding an account in the customer area and "services" refer to all services within the customer area.
"App" refers to an app which is a product of Cyclame IT, "app services" are all services used by this app to access projects, "app member" refers to a registered app user and "app administrator" to an app member selected by the project manager given administrator access.
Only the german version is legally binding.

Your personal data is used to provide an error-free service. We only process personal data on legal grounds or if you provide your consent.
We process your personal data on the basis of a legitimate interest in fulfilling contracts, providing technically error-free services, improving products/services, direct marketing and asserting and defending our rights.
You have the right to receive information about your stored personal data at any time. You also have the right to request the correction or deletion of this data. If you have given your consent to data processing, you can revoke this consent at any time for the future. In certain circumstances you also have the right to request that the processing of your personal data is restricted. You also have the right to file a complaint at the responsible supervisory authority.
All app content is encrypted. Login is protected by two factor authentication (password & code sent by email). Passwords are stored as salted hashes without exception. Managing registration codes for app access to projects and granting administrator access within projects is only possible with these services but not with app services. App content can only be accessed by app services but not with these services. Every communication utilizes SSL/TLS encryption.
We keep our servers up to date and perform backups on a regular basis. Our servers are located exclusively in Austria.
Our products and services are not intended for children. All user have reached the minimum age required.
Unless stated otherwise in this privacy policy, the personal data that you provide us will be stored for as long as it is necessary for us to fulfill our obligations in respect of the provision the services.
We use the name, address, phone number and email of our customers. We additionally use the commercial identification of our commercial customers. Optionally, customers can specify their title. We use the email of project managers. During usage of the services we process your IP address.
Project manager accounts contain a random User ID. It is used internally to provide an error-free service and is treated like personal data for as long as it is connected to an email.
We store the User ID, date & time, duration, amount of data, status and type of request.
Registration is a two step process: We create an account for a given email address that is initially blocked. When the project manager confirms to us that he was able to reset the password we unlock the account.
By using our services, log files are created on our servers containing communication data as well as the user ID. Personal data will be deleted after 30 days at the latest. Only data that contains no personal data is used to create statistics in order to improve our web site.
The project manager can change the password after successful login. A password reset, however, is only possible by us.
Your account is automatically deleted when the project is terminated. This includes deleting your email. You may also request the termination of your account by contacting us by email.
We only use technically necessary cookies for our web pages in order to provide an error-free service. When you visit our web pages you will be informed about the storage of cookies and asked to provide your consent.
Your personal data is shared with us.
In principle your personal data is only shared with other authorities if there is a legitimate interest in fulfilling contracts, we or the other authorities have a legitimate interest in sharing this data or you have given your consent.
Email addresses of app members are shared with project managers. Without exception every project manager commits to only use email addresses for the purpose of securing project access.
